First BaconCamp post mortem & notes:

 

Judging

  • audience choice (1st place & runner up)
    • 3 dry erase boards, large grid post-it paper (~3ft x 4ft)
    • passed out 3 dot stickers to each attendee
  • 7 judges recruited & announced before the event
    • other awards chosen by judges
    • waited for audience choice to finish voting before announcement
    • some categorie created on the fly

 

Presentations

 

Facilities

  • setup
    • started at 9:30am (3 1/2 hours before the event)
    • 3 people to do majority of furniture moving
    • redundancy - assign multiple people per task
    • equipment list
      • vacuum
      • beer keg spout thingies
      • ice bucket for keg
      • tool kit
      • gloves (mechanical or gardening for moving stuff)
  • volunteers
    • 1 at downstairs door at all times
    • 1 at upstairs door
    • 1 checkin
    • 1 at beer/drinks
  • break down
    • ~ 1 1/2 hours to clean up with 10-20 crew
    • vacuumed, threw out garbage, moved back furniture

 

Misc

  • checked ID before handing out alcohol
  • encouraged bringing your own cups/plates & sold cups for $1

 

Lessons Learned

  • Composting - fail
    • attemptened to encourage composting
    • result : plastic cutlery & cups mixed into compost bins
    • take away
      • distribute biodegradable/compostable cutlery, plates, cups
      • MC reminders throughout the event
      • bigger, more obvious signs on the bins
  • Presale tickets
    • EventBrite is not ideal
      • lacks multiple moderators
      • cannot "purchase" multiple donation based tickets at a time
    • better to have ticket sales available at time of event announcement
  • Facilities respect
    • some office booze consumed despite "not your beer" stickers
    • deliberately hitting pingpong balls out the window
    • take away
      • post signs requesting maturity & consideration
  • Lost & found
    • multiple messages to encourage labeling of equipment
    • lots of kitchenware left behind
    • take away
      • bring masking tape & encourage labeling on site
  • Beer
    • incredibly popular, ran out relatively early
    • although probably good for those driving home by 5
    • take away
      • more sponsors, ask earlier

Warm bodies

  • Pre-event planning - email karen [at] karenism [dot] com for wiki access 
  • Promotions - evangalize BaconCamp, create fliers/banners/etc, get people excited and talking
  • Sponsors - be the primary contact for them, maintain a list of who they are & what they’re bringing - Jason Glaspey and Eden Hensley
  • Facilities & Supplies - acquire cups & such, decorations
  • AV Nerd - Audio equipment for preso and video documention of event - Caleb Sexton
  • Head Bacon Dish-er - create the presentation board, add dishes to the wiki as necessary, answer questions about bringing dishes

 

Logistics

  • Scheduling and Presentations - each presenter briefly describes his dish before bringing it out.  They can sign up for timeslots when they arrive. 
    • How to prevent chaos? - Do this on video too for posterity sake?
    • What if we say arrive at 1pm and then at 2pm we do a "tour-of-bacon" where the people who brought dishes get 2 minutes (a la Ignite) to describe their dish, inspiration, etc?  That way its not just mayhem ... this could be done around the judging table?
    • How-to (or just general) bacon sessions in true BarCamp form?:

      • Encourage other types of preso
      • bacon craft time!  Toothpicks & frosting to hold pieces together, weave strips into shapes
